Your mission as Client Care Specialist is to manage day to day front desk operations involving utilization of the Body Balance Nurture Process to successfully convert new inquiries to paying patients/clients, establish meaningful relationships with prospective and current clients, assist in managing physical therapy and performance training schedules and collect payments, assist in implementation of marketing campaigns, and track operational performance indicators to determine success.

Mentorship Program
For the first three months of your employment, you will be participating in a Mentorship Program, necessary in order to help you achieve the level of success needed to meet your position’s demands. This mentorship program will start with greater frequency, weaning to a few hours/week as your success with the position grows. Hours for the program will be scattered throughout the week.
The program is entirely what you make of it. You will be required to come in each day with new questions regarding concepts,scenarios, logistics, and overall growth in order to enhance your success.For questions that are unfamiliar to your mentors, we will make sure to set up a group discussion in order to navigate the problem and come up with the best solution.
To achieve the level of success that we are looking for, you will be required to:
A. Be involved in the creation of internal and external marketing material i.e blog posts, free tips reports, workshop events AND make yourself available for scheduled telephone appointments to talk to the people who request this marketing information you will be creating.
B. Be responsible for limiting “drop-offs” - Patients who book appointments and then drop off schedule are not good for either parties involved. Because of that, you will be required to be pro-active in making regular re-activation phone calls to the people who have dropped off the schedule.
C. Be flexible in the type of work during your hours - In the 21st Century, patients expect to be seen before, during, after work. We know that back pain doesn’t go away for our patients after 5pm. Because of that, and to be successful in this role, you will be required to make yourself available from 7 am until 7 pm Mon-Fri. Your 40 hours per week will be scheduled during these hours (start and end times between these hours are negotiable).
D. Contribute and attend a minimum of 1.5 hours per week in clinic Continuing Education during our MANDATORY weekly Staff Meeting scheduled every Wednesday at 12:30-2 PM – including giving a powerpoint presentation to the rest of the team as needed.
E. Drive referrals – within 3 months we expect you to be independent with handling conversations, both in person and on the phone, with potential patients that will lead them to being a regular and lifetime patient.
F. Your “warm lead conversion” rate – one of the biggest responsibilities of this position will be your ability to effectively communicate to our potential patients the benefits of physical therapy so they can “make better decisions about their health”. We expect a conversion of 1 in 3 of the patients that request a free report or inquire about our services. This is different than those who come in with referrals, as those patients are further along their recovery journey and we expect to convert 8 out of 10 (or 80% as listed above). It will be expected to become proficient at this in 3 months.
G. Become proficient in obtaining patient insurance information, verifying benefits, obtaining insurance authorization and successfully communicating the patient’s out of pocket responsibility before they arrive for their first visit. This will also include overcoming financial objections such as, “I can’t afford it? Do you take my insurance?” Etc, ect. This will be met within 30 days of the potential date of hire
H. Be dependable, on time, willing to do things because they need to be done without thinking “that’s not my job” or “that’s not why I was hired”. Your presence alone illustrates your commitment to being a team player and making EVERYONE’S experience better, either team mate’s or patient’s. This will prove that you don’t like or need to be micro-managed, only able to complete tasks assigned to you.
I. Be proficient with computers, software such as word, excel, powerpoint, google drive, sending and receiving email, managing a computer either PC or MAC.
J. Possess a thirst to find things that need to be done or be done better. Never thinking, “My job is done”, but rather “what can I do next?”
K. Possess a genuine interest in people, talking to them and getting to know them. Understanding them on a level that will help you better solve their concerns, spoken and unspoken.
L. Ultimately the success of this position and your ability to exceed the expectations listed above is your ability to adhere to the core values:
